Two ways to send
Quick Send is for the document that needs a signature and nothing else: an NDA, a consent form, a one-page agreement. Upload the PDF, paste one or more email addresses, choose how long the links stay valid, and send. Salsox adds a signature and a date field for every signer at the end of the document, on an extra page if there is no room. The whole thing takes about as long as writing the email would.
The full editor is for documents where fields have to sit in exact places: initials on every page, a name in a box, a checkbox next to a clause, a date beside a signature line. You add recipients, pick each one in turn, and tap on the page where their fields go. It works the same with a mouse or a finger, which matters if you prepare documents on a tablet.
Choosing the right roles
Not everyone on a document needs to sign it. Giving each person the right role keeps the record accurate and spares people emails they do not need.
- Signer: fills their fields and signs.
- Approver: confirms the document before or alongside signers (Business plan).
- Viewer: receives the document to read, without fields.
- CC: receives the signed copy when it is complete.
Following up without chasing
Once a document is out, its page shows each recipient's state: waiting, sent, viewed, signed or declined, with the time of each. Unsigned recipients get an automatic reminder every three days. If a deployment has SMS enabled, you can opt a document into text-message reminders for signers who have a phone number with a country code.
When something goes wrong, the fix is on the same page. A bounced or mistyped address is corrected in place, and the old link stops working so a document sent to the wrong person cannot be signed by them. An expired document is renewed with fresh links while keeping every signature already given.
When it is done
When the last signer finishes, the signed PDF is stored, sent to everyone, and added to your document list. Each completed document has a verification code that anyone holding the PDF can check on the public verification page, which shows who signed and when without revealing the content.
Before you send your first one
Signers will see your name and the title of the document, so give the PDF a clear title. Decide whether people should sign in order. Frequently asked questions
How many people can I send one document to?
Up to ten recipients per document. Each can be a signer, an approver, a viewer who only reads it, or someone copied on the signed result.
Can signers sign in a particular order?
Yes, on the Business plan. With sequential signing, each person is notified only when the one before them has finished. Without it, everyone signs in parallel.
What happens if someone does not sign?
Reminders go out automatically every three days, and you can send one by hand at any time. Links expire after the period you choose (30 days by default), and an expired document can be renewed in one click.
What if I typed the wrong email address?
Open the document, edit the recipient and save. Their old link stops working, the right person gets a new one, and nothing else has to be redone.
