Document tracking and reminders: know where every signature stands
Sending a document is the easy part. Knowing whether it was opened, who is holding things up, and nudging them without writing the same email again is where the time goes. Salsox tracks it for you.
Why use it
Status per signer
Sent, opened, signed or declined, with times, for each person on the document.
Reminders on their own
Anyone who has not signed is reminded automatically every three days until they sign or the link expires.
Fix it in place
Correct a wrong email or renew an expired link without rebuilding the document or losing signatures.
The document page
Every document you send has its own page. At the top is its overall state: awaiting signatures, completed, declined, expired or cancelled. Below, each recipient has their own line: when the invitation was sent, when they opened it, whether they have signed, and when. If a recipient declines, their reason is shown.
That one view answers the questions that otherwise take a phone call: did they get it, have they looked at it, who is the hold-up?
The documents list
All your documents are listed together, newest activity first. Filter by status to see everything awaiting signatures, everything completed this month, or what was declined; search by title to find a specific contract. Each entry shows how many signers have signed out of the total.
Automatic reminders
People rarely refuse to sign; they forget. Salsox reminds every recipient who has not signed, every three days, until they sign, decline, or their link expires. You do not have to remember to chase, and you do not have to write the reminder. If you want to nudge someone sooner, send a reminder by hand from the document's page.
Where the deployment has an SMS provider, you can also turn on SMS reminders for a document, which reach recipients who rarely check email.
When something goes wrong
The most common reason a document stalls is not reluctance but a mistake: a misspelled email address, or a link that expired while the signer was travelling. On many services, fixing that means cancelling and starting again, and asking everyone who already signed to sign again.
With Salsox, you correct the address on the document's page and a fresh link goes to the right place; fields and signatures already collected stay where they are. An expired link is renewed the same way. Any link can also be copied, or shared by WhatsApp or SMS, from the document's page.
Expiry
Each document can have an expiry, 30 days by default. After it, unsigned links stop working, which keeps old offers from being signed months later. Expired documents can be renewed in one step if the deal is still on.
Everything on the record
Each view, reminder, correction and signature is added to the document's audit trail, with its time. If anyone later asks when a document was sent or opened, the answer is already written down.
A weekly habit
Once a week, filter the documents list to "awaiting signatures" and read down the list. Anything sent more than a week ago that has not been opened probably went to a wrong address or a spam folder: check the address and share the link another way.
What it does not do
Salsox does not track time spent on each page, does not integrate with a CRM to update deal stages, and does not send reports by email. It tells you, per document and per signer, what has happened and what has not.
Frequently asked questions
How often are reminders sent?
Every three days to each recipient who has not yet signed, until they sign, decline or the link expires. You can also send a reminder by hand from the document's page.
Can reminders go by SMS?
Yes, where the deployment has an SMS provider configured and you turn on SMS reminders for the document; recipients need a phone number.
What if a signer says they never got the email?
Check the address on the document's page, correct it if needed, and a fresh link is sent. You can also copy the link or share it by WhatsApp or SMS.
