Bookkeeping Services Agreement

This agreement is made on 24 October 2026 between Ledgerwise Bookkeeping Ltd (the "Bookkeeper") and Oakridge Joinery Ltd (the "Client").

1. Services

From 1 November 2026, the Bookkeeper will provide recording sales and purchase invoices, bank and card reconciliations, payroll journals, and quarterly VAT return preparation (the "Services"). Any other work, such as year-end accounts, tax advice or catch-up of earlier periods, is quoted separately.

2. Software

The books are kept in Xero, on the client's own subscription. The Client gives the Bookkeeper user access, and keeps administrator control of the account.

3. The Client's records

The Client will supply bank statements, receipts, invoices and payroll information by the 7th of each month, for the month before. If records arrive late, the reporting deadline moves by the same number of days, and extra work caused by late or incomplete records is charged at the hourly rate.

4. Responsibility

The Bookkeeper will carry out the Services with reasonable skill and care. The Client is responsible for the accuracy and completeness of the records it supplies, and for reviewing, approving and filing any return the Bookkeeper prepares. The Bookkeeper does not audit the records and does not give tax or legal advice.

5. Reports

The Bookkeeper will provide a profit and loss account, balance sheet and aged debtors list by the 20th of each month.

6. Fees

The fee is GBP 380 plus VAT, invoiced on the 1st of each month, payable within 14 days. Additional work is charged at GBP 45 an hour, agreed before it starts. The fee may be reviewed once a year with 30 days' notice.

7. Confidentiality and data protection

The Bookkeeper will keep the Client's information confidential, will process personal data only on the Client's instructions and to provide the Services, will keep it secure, and will delete or return it when this agreement ends.

8. Ending the agreement

Either party may end this agreement with 30 days' written notice. Once outstanding fees are paid, the Bookkeeper will remove its access, return any original documents, and give the incoming accountant reasonable handover information.

About the Bookkeeping services agreement template

A bookkeeping agreement makes clear which tasks the bookkeeper takes on and which stay with the business owner. The most common friction is late or missing paperwork, so the agreement sets a monthly deadline for records and says what happens when it is missed.

This template lists the monthly services, the reports the client receives and when, the accounting software and who pays for it, the fixed monthly fee and how extra work is priced. It keeps the client responsible for the accuracy of what they supply and for approving and filing returns, which is where a bookkeeper's role ends and the business owner's duty begins.

Add the data protection terms your jurisdiction requires: a bookkeeper processes personal data on the client's behalf, so a short processing clause is included.
