Security and audit trail4 steps

The signed PDF and its certificate

How a completed document is sealed, what the certificate page shows on the Business plan, and why the original file is never changed.

When the last person signs, the document is completed and sealed: the signatures and filled-in fields are drawn onto a copy of your PDF, and that signed copy is fixed so any later change can be detected.

Get the signed PDF

  1. Everyone on the document is emailed the signed PDF when it completes.
  2. You can also open the document from Documents and, under Files, select Signed PDF + certificate (on Business) or Signed PDF.

What the certificate page shows (Business plan)

  1. A last page is added to the signed PDF with the document's audit trail: who signed, in which role, when, with their email and IP address.
  2. It carries a verification code and a QR code. Anyone holding the PDF can use them to check it's genuine.

Good to know

  • The original PDF you uploaded is never modified. You can always download it under Files, Original PDF.
  • On the Free and Personal plans the signed PDF has no certificate page, but the audit trail is still kept and shown on the document's page.
