Cleaning Services Contract

Before your team takes the keys to a client's office, write down which rooms get cleaned how often, whose products you use, and how many hours you have to put right a missed area, so a complaint leads to a re-clean instead of a withheld invoice.

Cleaning Services Contract

This contract is made on 3 March 2025 between Brightway Cleaning Ltd of 14 Mill Lane, Leeds LS2 7HJ (the "Provider") and Harper & Cole Architects of 22 Park Square East, Leeds LS1 2NE (the "Client").

1. Premises and start

The Provider will clean the premises at Second floor, 22 Park Square East, Leeds LS1 2NE (the "Premises"), starting on 10 March 2025.

2. Cleaning schedule

The Provider will clean the Premises between 6:00 pm and 9:00 pm, Monday to Friday, as follows:

  • Offices and desks: empty bins, dust desks, wipe phones and handles, daily
  • Kitchens and break areas: wash surfaces and sink, clean microwave, mop floor, daily
  • Toilets and washrooms: clean and sanitise toilets, basins and mirrors, daily
  • Floors and entrances: vacuum carpets and mop hard floors, three times a week
  • Periodic tasks: inside windows monthly, fridge deep clean every two weeks

Work outside this schedule is extra. The Provider will quote for it, and the Client must approve the price in writing before the work starts.

3. Products and equipment

The Provider supplies all cleaning products, equipment and protective clothing, except these items supplied by the Client: none. Consumables such as toilet paper, hand soap, paper towels and bin liners are supplied by the Client. The Provider will use products suitable for each surface and follow the manufacturer's instructions and safety information.

4. Access and keys

The Client will give the Provider two front door keys, two fobs and the alarm code. The Provider will keep a written record of which staff hold keys, will not copy them, and will lock all doors and set the alarm when leaving. If the Provider loses a key, fob or card, it pays the reasonable cost of replacing it or changing the locks. The Client will tell the Provider of any change to codes or access before the next visit. The Provider will return all keys and access devices within 5 days of this contract ending.

5. Staff

The Provider is responsible for the pay, taxes, training and supervision of its cleaners, and will only send cleaners who have been reference-checked and given basic DBS checks. Cleaners will follow any site rules the Client gives the Provider in writing.

6. Breakages and damage

The Provider will report any breakage or damage caused by its staff to the Client within 24 hours and will repair it or pay the reasonable cost of repair or replacement. The Provider is not responsible for normal wear and tear or for items that were already faulty. The Provider holds public liability insurance of at least £2,000,000 and will show proof on request.

7. Quality complaints

If the Client is not satisfied with a clean, it will tell the Provider in writing within 48 hours of the visit, naming the area and what was missed. The Provider will re-clean that area at no charge within the next scheduled visit or 2 working days, whichever is sooner. If the same problem is reported three times in any 60-day period, the Client may end this contract with 7 days' written notice.

8. Price and payment

The Client will pay £1,240 per calendar month, plus any applicable taxes. The Provider will invoice on the first working day of each month, and the Client will pay within 14 days of the invoice date. Overdue amounts carry interest at 4% a year above the Bank of England base rate. A visit the Client cancels with less than 24 hours' notice is charged in full.

9. Price review

The Provider may review the price once every 12 months, giving at least 30 days' written notice of any change. If the Client does not accept the new price, it may end this contract by written notice before the change takes effect, and the existing price applies until the end date.

10. Term and ending

This contract continues from the start date until either party ends it with 30 days' written notice. Either party may end it immediately if the other seriously breaches it and does not put the breach right within 7 days of written notice. On ending, the Client pays for cleaning done up to the end date and the Provider returns keys as set out in section 4.

11. General

This contract is the whole agreement about the cleaning services. Any change must be in writing and agreed by both parties. This contract is governed by the laws of England and Wales.

About the Cleaning Services Contract

Use this contract when you clean a client's office, shop or clinic on a regular schedule and want both sides to agree what a visit includes before the first invoice.

The schedule (section 2) lists each area with its tasks and frequency, which is what you point to when a client asks why the windows were not done this week. Products and equipment settles who buys cleaning chemicals and who buys toilet paper and bin liners, a common source of small disputes. Access and keys records what you hold, who pays if a key is lost, and when keys come back.

Breakages requires prompt reporting and sets out what you will repair or pay for. Quality complaints gives the client a short window to report a missed area and gives you a fixed time to re-clean it free, rather than a refund argument. Three repeat complaints let the client leave early, which keeps you honest and the client reassured. Price review lets you adjust for wage and supply costs on notice, with the client free to leave instead.

When filling it in, describe tasks plainly enough that a new cleaner could follow them, and make sure the cleaning hours match the building's alarm and access times. Send it through Salsox and both you and the client sign on a phone, field by field, with an audit trail on the finished PDF.

Questions

How detailed should the cleaning schedule be?

Detailed enough that a cleaner who has never visited the site could follow it. List the area, the tasks and how often, and put occasional work such as window cleaning or deep cleans on its own line. Anything not listed is treated as extra work that needs a price agreed first.

Can I raise my price during the contract?

Yes, under section 9 you can review the price at the interval you set, with written notice. The client can accept the new price or end the contract before it takes effect, and the old price applies until then. Consumer and commercial rules on price changes differ between countries, so check local rules if you clean for households rather than businesses.

What happens if the client says an area was missed?

The client reports it in writing within the complaint window, naming the area and what was missed. You re-clean it at no charge within the fix window. If the same problem is raised three times in the repeat complaint period, the client can end the contract on 7 days' notice.

Do I need insurance and staff checks to use this contract?

The contract asks you to state your public liability cover and the checks your staff have passed, because commercial clients usually ask for both. Whether insurance or background checks are legally required depends on your country and the type of premises. Only fill in cover and checks you actually hold.

Can the client pay the first month when signing?

Salsox can collect a payment as part of signing through Sign & Pay, by card or mobile money via Stripe or Paystack. You could use it for a first month or a deposit if your terms ask for one. Ongoing monthly invoices are handled as section 8 describes.
