eSignature for clinics: consent recorded before the patient sits down
Clinics, dental practices and private healthcare providers collect signatures all day: consent to treatment, payment plans, staff contracts, supplier agreements. Signing on a tablet or the patient's own phone keeps the waiting room moving.
Paper in the waiting room
A patient arrives, takes a clipboard, fills in a form, signs the consent sheet, and someone scans or files it later. The scan is crooked, the handwriting unclear, and the form is somewhere other than the patient's record. Multiply by a full clinic day and the paperwork alone needs a person.
Consent, recorded properly
The patient consent form is built around what informed consent requires: the procedure and why it is recommended, its main risks, the alternatives including no treatment, confirmation that the patient's questions were answered, and the fee. The patient initials the risks section and signs; the clinician signs a statement that they explained it. Each signature is time-stamped in the audit trail.
Send the link to the patient's phone before the appointment so they can read it at home, or open it on a clinic tablet at the front desk. Either way, the signed PDF comes back ready to attach to the patient's record.
Treatment paid over time
For treatment a patient pays for in instalments, the payment plan agreement sets the schedule and what happens if a payment is missed. On the Business plan, the first instalment can be paid as part of signing, by card or by mobile money through Paystack where it is supported.
Staff and suppliers
Clinics are employers and buyers too. Offer letters, employment contracts and an employee confidentiality agreement protect patient information from the first day. Regular supplies of consumables run better under a supplier agreement with purchase orders sent against it.
What to check first
Health data is regulated, and the rules differ widely. In the United States, providers handling protected health information need a business associate agreement with every vendor that touches it, and Salsox does not offer one, so it is not the right tool there for patient records. Elsewhere, check your national data protection and health privacy rules, and your regulator's guidance on consent records. Use the clinic's own consent wording for high-risk procedures.
Reception, step by step
A workable front-desk routine looks like this. When an appointment is booked, reception starts the consent form from the template, fills in the procedure, risks and fee for that treatment, and adds the patient and the clinician as signers. The patient gets the link the evening before and reads it without being rushed. At the appointment the clinician goes through it with them, answers questions, and both sign: the patient on their own phone or the tablet, the clinician on theirs. The signed PDF is saved to the record before the patient leaves the chair.
Day to day
Each document's page shows whether the patient has opened and signed it. Unsigned forms are reminded automatically, and corrected email addresses get a fresh link without losing anything already signed.
Templates to start from
Each opens in the editor with its signature fields already in place.
Proposals
Consulting proposal template
For independent consultants and small firms: frame the client's question, show how you will answer it, who will do the work, what it costs, and the assumptions the price rests on.
Proposals
Marketing proposal template
For agencies and freelance marketers: tie the plan to the client's numbers, show which channels you will run and what you will report, and price it as a monthly retainer they can approve.
Proposals
Software development proposal template
For studios and freelance developers: turn a client's idea into a scoped build with milestones, a fixed price per milestone, what happens after launch, and who owns the code.
Invoices and payments
Payment plan agreement template
When a customer cannot pay all at once: agree the total, the instalments and their dates, what happens if one is missed, and that they can pay early, in one short document both sides sign.
Business contracts
Consulting agreement template
The contract behind a consulting engagement: what the consultant will advise on, how they are paid, who owns the reports, and the confidentiality and non-solicitation terms clients expect.
Business contracts
Memorandum of understanding (MOU) template
Put a collaboration in writing before the full contract: the shared purpose, what each side will contribute, who leads what, and a clear line between what is binding and what is not.
Frequently asked questions
Is Salsox HIPAA compliant?
Salsox does not offer a HIPAA business associate agreement, so US providers handling protected health information should not use it for that. Clinics elsewhere should check their own health data rules; Salsox keeps documents private, encrypted in transit, and visible only to the sender and signers.
Can a patient sign a consent form on a clinic tablet?
Yes. Open the signing link on the tablet and hand it to the patient; they sign one field at a time. Or send the link to the patient's own phone before the appointment.
Does an e-signed consent form replace the conversation with the clinician?
No. The form records informed consent; the clinician still explains the procedure, its risks and alternatives, and answers questions.
