Video Production Contract

This contract is made on 24 October 2026 between Wide Shot Films Ltd (the "Producer") and Kestrel Outdoor Gear Ltd (the "Client") for a brand film for the client's new hiking boot range (the "Project").

1. Deliverables

The Producer will deliver one 90-second film in 16:9, a 30-second cut-down in 9:16 for social media, and six 6-second clips, all in 4K with captions by 12 December 2026, provided the Client gives approvals and feedback on time.

2. Pre-production

Before the shoot, the Producer will prepare a treatment, a shot list and a location recce, approved by the client before the shoot. The shoot goes ahead only once the Client has approved these.

3. Production

The Producer will film over two shoot days in the Lake District on 18 and 19 November 2026, with a crew of four. The Producer is responsible for crew, equipment, insurance and location permissions.

4. Weather and postponement

if weather makes the shoot unsafe or unusable, the shoot moves to the next available dates agreed by both parties, with no extra crew fee for one postponement. A postponement requested by the Client for other reasons with less than 7 days' notice is charged at the crew's day rates already committed.

5. Edit and revisions

The fee includes two rounds of edits on the main film and one round on the cut-downs. Each round is one consolidated set of feedback. Further rounds, or changes requiring new filming, are quoted separately.

6. Music and people

The Producer will license all music for the uses in section 8, and obtain signed releases from everyone recognisable on camera. The Client is responsible for the accuracy of product claims in the script it approves.

7. Fee

The fee is GBP 14,500 excluding VAT, payable 50% on signing, 25% after the shoot, and 25% on delivery of the final files. Invoices are due within 14 days.

8. Usage and ownership

Once the fee is paid in full, the Client may use the deliverables for worldwide use on the client's own channels, paid social media and in-store screens, without time limit. The Producer keeps ownership of raw footage and project files, and may show the finished film in its portfolio after the Client's launch.

9. Cancellation

If the Client cancels after pre-production starts, the first payment is kept; if after the shoot, the second payment is also due, and the Producer will deliver the footage edited so far.

10. Governing law

This contract is governed by the law of England and Wales.

About the Video production contract template

Video projects have more moving parts than most creative work: a treatment to agree, locations and people to book, a shoot that depends on weather, an edit with rounds of feedback, and rights in music and in the faces on screen. A video production contract puts each in the right order with the right person responsible.

This template lists the deliverables with their lengths and formats, makes pre-production approval the gate before anyone travels to a shoot, and sets the number of edit rounds included. It makes the producer responsible for clearing licensed music and getting release forms from everyone on camera, which protects the client's use of the film. It explains what happens if weather stops the shoot.

Usage rights are stated precisely, because a film licensed for social media only cannot later run as a TV advert without new music and talent clearances. Raw footage stays with the producer unless the client pays for it.

Questions

Does the client get the raw footage?

Not under this template. The client receives the final deliverables. Raw footage can be supplied for an agreed fee, usually with limits on how it may be used.

Who clears music and people on screen?

The producer, under section 6: licensed music for the stated uses and signed releases from everyone recognisable on camera.

What counts as a round of edits?

One consolidated set of client feedback on a cut, and the producer's revision of it. New ideas that change the script or need more filming are not edits.
