eSignature for schools: consent forms parents actually return

Schools chase paper more than almost anyone: trip consent slips, enrolment forms, photo permissions, fee agreements, staff contracts. Most parents read these on a phone. Here is how to get them signed and back.

The paper chase

A school trip for one class can generate forty consent slips, and the last five always arrive on the morning of the trip, if at all. Enrolment brings forms with medical details and emergency contacts, photo permissions and fee agreements. Staff need contracts and policy acknowledgements. Each paper form costs a teacher's time to send, chase, check and file, and a lost slip can mean a child left behind.

The parental consent form gives parents the trip details first (where, when, transport, supervision, cost), then asks for medical information and an emergency contact as typed answers, consent for emergency treatment, and a separate initial for photos. Parents sign from a link on their phone. Because the link can go out on WhatsApp or SMS as well as email, it reaches parents who rarely open school emails.

The document's page shows who has signed and who has not, so the teacher in charge knows exactly whom to call. Reminders go out automatically every three days.

Photos and publicity

Schools publish photos in newsletters, on websites and on social media, and many parents want a say. The photo release form states exactly where images may appear, for how long, and how consent can be withdrawn later. For pupils under 18, send it to the parent or guardian.

Fees in instalments

Many families pay fees over a term rather than in one sum. The payment plan agreement records the total, the instalment dates and what happens if one is missed, and the parent acknowledges it with a signature. On the Business plan, the first instalment can be collected as they sign, by card or by mobile money through Paystack.

Staff paperwork

Teachers' and support staff contracts, internship agreements for student placements, and handbook acknowledgements are the same documents any employer uses; the HR page covers them.

A trip, start to finish

For a class trip, the teacher in charge fills in the trip details on the consent form once and saves it as the class's own template. Each pupil needs their own form, so for each one the teacher opens the saved template, types the pupil's name, adds the parent's email or phone and sends: well under a minute per pupil. Parents sign over the following days; the documents list shows which forms are signed, and reminders go to the rest automatically. Two days before the trip, the teacher calls the few who have not signed. On the day, the signed forms, with medical notes and emergency numbers, are on the teacher's phone rather than in a folder left in the staff room.

Records

Every signed form comes back as a PDF with an audit trail: who signed, when, and from what device. Keep them with the pupil's file. Exports of every document and audit trail are available on any plan, which helps when an inspector asks to see consent records.

Frequently asked questions

Do parents need an account or an app to sign?

No. Each parent receives a link by email, WhatsApp or SMS and signs in their phone's browser.

Can parents type in medical information on a consent form?

Yes. The parental consent form template has typed answer fields for medical needs and an emergency contact, filled in by the parent as they sign.

Can we collect trip or fee payments with the form?

Yes, on the Business plan. Sign & Pay collects the payment as part of signing, by card or by mobile money through Paystack where available.

How do we see which parents have not signed?

Each document's page shows every recipient's status. Unsigned recipients are reminded automatically every three days.
