About the Payment receipt template

A receipt is small but it settles arguments that can be expensive: whether a deposit was paid, how much cash changed hands, and what is still owed. Landlords, schools, contractors and shops taking part-payments all need one that both sides can rely on.

This template records the amount in figures and in words (which stops a figure being altered), the payment method and reference, exactly what the payment was for, and a running balance: total due, paid before, paid now, and what remains. The person who received the money signs it, and the payer can countersign to confirm the record.

Sent through Salsox, both signatures and the date are captured with an audit trail, so a receipt for a cash deposit is as solid as a bank statement.

Questions

What should a payment receipt include?

The date, a receipt number, who paid and who received, the amount in figures and words, the payment method, what it was for, and any balance still owed.

Why write the amount in words?

Figures are easy to alter or misread. Writing the amount in words as well is a long-standing way to make the receipt reliable.

Does the payer need to sign the receipt?

The receiver's signature is the important one. A payer countersignature is useful for deposits and part-payments, because it confirms the balance both sides agree on.
