Proposal
Prepared for: Goldfields Haulage Ltd, attention Mr. Kwesi Badu, Managing Director Prepared by: Meridian Operations Consulting Date: 24 October 2026
The challenge
Goldfields runs 60 trucks but plans routes by phone each morning. Drivers wait an average of 70 minutes before departure, fuel costs rose 18% this year, and customers are not told when deliveries will arrive. The goal
To cut morning waiting time below 20 minutes and give every customer an arrival window by text message.
Our approach
We will map your current dispatch process, introduce a route-planning tool already used by similar fleets, train two dispatchers, and set up automatic arrival texts to customers.| Phase | What happens | Timing | Fee |
|---|---|---|---|
| 1 | Discovery: ride along with drivers, map dispatch, agree targets | Weeks 1 to 2 | GHS 18,000 |
| 2 | Set-up: configure routing tool, import customers, test arrival texts | Weeks 3 to 5 | GHS 32,000 |
| 3 | Go-live and training: run alongside the old process, then switch over | Weeks 6 to 8 | GHS 20,000 |
| Total | GHS 70,000 |
Expected results
Within three months of go-live, we expect morning waiting time under 20 minutes and fuel spend down at least 8%, measured from your fuel cards. Why us
We have set up dispatch for four haulage and distribution firms in Ghana since 2023, including two with fleets over 50 trucks.Terms
This proposal is valid until 23 November 2026. Payment: 40% on acceptance, 30% at the end of Phase 2, 30% on go-live. Work outside the phases above will be quoted separately and agreed in writing before it starts. Each party keeps the other's confidential information private.

About the Business proposal template
A business proposal wins when the client recognises their own problem in the first paragraph. That is why this template starts with the problem, stated with the client's numbers, then the goal, before saying a word about you.
After that, the structure is the one buyers use to compare offers: what you will do, in phases with timings, what each phase costs, the result they can expect and how it will be measured, and why you are credible. The pricing table ties each fee to a phase, which makes the total easier to approve and easier to stage if budget is tight.
The proposal ends with terms and an acceptance block, so a yes is a signature, not another round of email. Sent through Salsox, the client signs on their phone, and with Sign & Pay the first payment can be made as they accept.

Questions
What should a business proposal include?
The client's problem, your proposed solution, deliverables and timeline, pricing, expected results, why you are the right choice, and the terms of acceptance.
How long should a proposal be?
As short as it can be while answering the buyer's questions. Two to five pages is typical for a small engagement; the pricing and acceptance should be easy to find.
Should a proposal be signed?
Yes, if you want acceptance to mean something. A signed proposal records the agreed scope and price and can act as the contract for smaller projects.
