Managed IT Services Proposal
Prepared for Harrow & Finch Architects by Bluegate IT Services Ltd, 24 October 2026.
1. Where you are today
You have 28 people relying on IT every day. Today, a part-time contractor looks after the network, backups are run by hand to a single drive, and laptops are patched only when someone remembers. Two outages this year stopped work for a day each.
2. What you want
From our conversations, you are looking for dependable backups, fewer outages, faster help when something breaks, and a clear monthly cost.
3. What we will manage
We propose to provide a help desk by phone, email and chat, device monitoring and patching, Microsoft 365 administration, managed antivirus and email filtering, daily cloud backup with quarterly restore tests, and network and firewall management, for all 28 users.
4. Service levels
We commit to urgent issues responded to within 1 hour, normal issues within 4 working hours, requests within 1 working day. You will receive a monthly report of tickets, response times, patch status and backup results.
5. Getting started
We will run a two-week onboarding: audit and documentation in week one, agents and backup set up in week two, with a handover meeting at the end. Your team carries on working throughout; most changes happen out of hours.
6. Pricing
| Item | Price |
|---|---|
| Managed services | GBP 65 per user per month, GBP 1,820 for 28 users, plus a one-off onboarding fee of GBP 1,200 |
| Term | 12 months, then rolling with 60 days' notice |
Not included: hardware and software licences, which we can source at cost plus 10%; and project work such as office moves, migrations and new installations, quoted separately. Adding or removing users changes the monthly fee from the next invoice.
7. Next steps
Sign below to accept this proposal. We will then send our master services agreement and service level agreement, and book the onboarding kick-off within five working days. This proposal is valid until 23 November 2026.

About the Managed IT services proposal template
A managed IT services proposal sells an ongoing service, so it has to show the prospect that you understand how they work today and what will be different. Leading with their situation and goals, then the services that address them, makes the price easier to judge.
This template moves from the client's current situation and goals to the services in scope, the response times you commit to, the onboarding plan, and the monthly price per user. It lists what is not included, so project work and hardware are not mistaken for part of the monthly fee, and ends with clear next steps and a signature to accept.
Back the response times with a service level agreement; the proposal summarizes them and the agreement makes them binding.

Questions
How should managed IT services be priced?
Per user or per device each month is most common, because it scales with the client. The template uses per-user pricing with a one-off onboarding fee.
What is usually not included?
Hardware, software licences, and project work such as office moves or migrations. Listing them, as the template does, avoids disputes later.
Is signing the proposal the contract?
It accepts the scope and price. Most providers also sign a master services agreement and service level agreement, which section 7 refers to.
