Use case

eSignature for recruitment: placements confirmed before candidates change their minds

Recruitment runs on timing. An offer accepted on Friday can be withdrawn on Monday; a client who agreed terms on the phone may not sign them for a week. Signed paperwork on a phone closes both gaps.

Two sides to every placement

A recruitment agency has two sets of signers: clients, who agree the terms of business and confirm each placement, and candidates, who accept offers, contracts and, for contractors, assignment terms. Both are busy, both are mobile, and both can change their minds while paper sits unsigned.

Client terms of business

Agree your fee, rebate period and payment terms once with each client. A service agreement adapted to your terms of business covers the essentials: the service, fees, liability and termination. When a client says "yes, send it over", it can be signed from their phone before the call ends.

Offers that get accepted

Many agencies prepare the offer on behalf of the employer. The job offer letter template states the role, salary, benefits, start date, probation and conditions, with an acceptance block for the candidate. Sent as a link the candidate opens on their phone, it is usually signed the same day, and the document page shows when they opened it, which tells you when to call.

The full employment contract follows, signed by the employer and the candidate, with initials on the notice terms.

Contractors and temporary workers

Staffing agencies placing contractors need an agreement for each assignment. The independent contractor agreement sets the services, rate, invoicing and ownership of work, and is written to reflect genuine independence. Where workers are employed by the agency and supplied to clients, employment law and agency-worker rules apply; adapt the employment contract instead and check local requirements.

Confidential searches

Retained and executive searches often start with a one-way NDA before the client shares the role or a candidate shares their situation.

Records for compliance

Recruitment is regulated in many countries, and agencies are asked to show signed terms, consents and right-to-work checks. Every completed document in Salsox comes back as a PDF with an audit trail, and all documents and trails can be exported at any time. Keep them with the candidate's or client's file.

Candidates abroad

Cross-border placements add time zones to the paper chase. A candidate in another country can read and sign an offer at a reasonable hour on their own phone, and the agency sees the moment it is opened. Keep in mind that employment law follows the place of work, not the agency: offers and contracts for overseas roles should be adapted to local rules, and some countries require particular wording or registration before a contract takes effect.

Speed, measured

The goal is simple: the time between "yes" and a signature should be minutes, not days. Save your standard offer, contractor and client terms as your own templates, send them from your phone, and let reminders follow up on anything unsigned.

Frequently asked questions

Can candidates sign without an account?

Yes. Candidates sign from a link in their email, WhatsApp or SMS, in any phone browser.

Can a client and a candidate sign the same document?

Yes. Add both as signers; on the Business plan you can also set the order, so the client signs first.

How do we know a candidate has opened the offer?

The document's page shows when each recipient opened and signed it, so you can follow up at the right moment.
