Use case

eSignature for remote teams: paperwork that works across time zones

When nobody shares an office, nothing can be signed by walking it over to a desk. Remote teams need every signature to work from a link, on whatever device people have, wherever they are.

The problem with paper at a distance

A distributed team runs into paper at the worst moments: a new hire in another city who has no printer, a director travelling when a supplier contract needs a countersignature, a contractor three time zones away whose agreement must be signed before they can start. Each one turns a five-minute task into days of scanning, emailing and waiting.

With Salsox, each document goes out as a link. The recipient opens it on whatever they have, usually a phone, and signs one field at a time, with no account or app to install. Links can be sent by email, or shared by WhatsApp or SMS from the document's page, which helps when a colleague is on the road and not checking email.

Time zones without the chasing

Nobody needs to be online at the same time. The sender sends at the end of their day; the signer signs at the start of theirs. Each document's page shows who has opened and signed, and anyone who has not signed is reminded automatically every three days. When the last person signs, everyone receives the completed copy. See document tracking for how status and reminders work.

Approvals across the team

Many remote teams need an internal sign-off before a document goes out: a manager approving an offer, a founder approving a large contract. On the Business plan, an approver can be placed ahead of the external signer, and signing set to sequential, so the document only reaches the client once the approval is in. The signing workflows page explains the options.

The documents remote teams sign most

  • Hiring: offer letters and employment contracts, which candidates sign from their phones; the job offer letter and employment contract templates are a starting point.
  • Contractors: agreements with freelancers and contractors in other countries, often with an NDA first.
  • Clients: proposals, statements of work and service agreements, signed and, with Sign & Pay on the Business plan, paid in one step.
  • Policies: remote-working terms and data-security rules that each person should acknowledge; the remote work agreement template covers schedule, availability, equipment and data security.

Security and records

Every document has an audit trail of each view and signature, with time, IP address and device, which matters more when nobody saw the other person sign. Accounts can use two-factor authentication. Signed documents and their trails can be exported at any time.

What it does not do

Salsox has no team seats or shared admin console: each account is one sender. For a remote team where a few people send documents, that is often enough; for a large organisation where many people send under central administration, a platform with team management fits better.

Frequently asked questions

Can people sign from a different country?

Yes. A signing link works anywhere with an internet connection, in any phone or computer browser, with no account or app.

How do I know when a colleague in another time zone has signed?

Each document's page shows when every recipient opened and signed it, and the completed document is emailed to everyone when the last person signs.

Are remotely signed documents legally valid?

In most countries, electronic signatures are valid for most business documents wherever the signer is. Some documents, in some places, need extra formalities; check local rules for anything unusual.
